Allowing Guests to Join the Room

Overview

When a guest that was invited to space tries to enter, he needs to be allowed first. The guest will get a notification that someone will come in just a minute, and all members in the room will get a notification that a guest would like to come into the room.

Note: When multiple guests are joining a room at the same time, you will have to allow/reject access to join the room one by one. It is not possible to allow/reject access to multiple guests at once.

Solution

When guests try to join the Sococo space using the guest link, they are notified with a message: 

Hi Guest
Take a load off. Someone will come for you in just a minute

Their avatars appear in the room they are trying to join, and they need to be allowed in. All users in the room are notified when a guest is attempting to access the room.

The following notification will also pop up in the lower-left corner of the browser for each person in the meeting room:

Guest <name> would like to come in to <room name>    ANSWER

Accepting the Guest

Anyone in the room can allow the guest to enter the meeting by clicking ANSWER on the notification message and clicking COME ON IN on the pop-up window that appears next.

Additionally, you can right-click on the avatar and select Allow guest, even if you are not in the same room as the guest.

Rejecting the Guest

If a guest arrives and you are busy you can REJECT the request to enter the room to join the meeting.

You can reject guests in 2 ways:

  1. Using the Guest notification
    • On the Guest notification, click on Answer button
    • In the pop-up, click Not Now. Optionally, you can leave a notification to the guest.

  2. Right-click on the avatar and select Deny guest.

Once the access is denied, the guest will be notified:

  • If there was no comment for the guest, the following notification will appear by default:
    Sorry... Everyone seems to be busy right now.

  • If you Reject access and add an optional message, your guest will see that message displayed:
    Sorry... We're running behind schedule - can you try back
    in 10 minutes?

No Response (Timeouts)

If no one is around when the guest arrives, to accept or reject his request to enter the room, the request will timeout in 45 seconds, and the following message will be displayed:

Sorry... Everyone seems to be busy right now.

Testing

Depending on the action, the guest will either join the space and see the map and all users or see the "Sorry..." notification, meaning they were not allowed to enter.
